Position Description/Responsibilities:

 

 

 

CAI has a need for an Archives Assistant to work on a client engagement in Washington, DC.

 

Job Responsibilities:

• Create metadata profiles for new reports; modify profiles for existing reports; and index and write abstract reports according to existing rules.

• Conduct regular data quality control checks on bibliographic data in repositories.

• Provide basic guidance, training, and classes on bibliographic data in repositories.

• Correctly flag and refer errors and bugs within the tools to higher level support.

• Maintain familiarity with contents of operational documents and reports, keep abreast of policies, directives, procedures, and guidelines.

• Review and undertake disclosure decisions in accordance with policies.

• Ensure timely and high quality delivery of unit services according to agreed service standards.

• Acquire, review, and process documents for inclusion in repositories acquisition.

• Add to repositories through digitization efforts.

• Contribute to collection maintenance by organizing an authority file listing collections and loading collection series information into a content management system.

• Participate in design and testing of electronic cataloging tools and statistical systems.

• Provide training and guidance to junior staff when necessary.

• Provide training to client groups and individuals on IDU/LAD products and services.

• Provide second tier support to resolve ImageBank or document questions.

• Support teams and services in responding to basic reference requests and delivering timely and high quality information management services to a local program or service.

 

 

• Participate in strengthening WBG Information Management program

• Collect analytics on filing of items in World Bank repositories.

• Provide basic guidance and training to clients in carrying out information management, filing, and retrieval activities.

• Conduct training and classes for clients on information management topics.

• Provide support to resolve records or information management questions.

• Correctly flag and refer errors and bugs within the tools to higher level support.

• Ensure timely and high quality delivery of unit services according to agreed service standards.

• Maintain familiarity with contents of operational documents and reports, keep abreast of policies, directives, procedures, and guidelines.

• Monitor compliance with information management policies, standards and objectives.

• Participate in drafting updates to information management policies, directives, procedures, and guidelines.

• Participate in design and testing of electronic cataloging tools and statistical systems.

• Create quarterly and monthly reports on records management compliance wide.

• Update and publish to the Records & Information Management websites.

• Create outreach materials for Information Management Program.

• Support teams and services in responding to basic reference requests and delivering timely and high quality information management services to a local program or service.

 

Skills/Abilities

 

· Familiarity with standard information descriptive standards and information management systems.

· Ability to consistently, accurately, and comprehensively perform additional tasks.

· Ability to work independently or with minimal supervision.

· High degree of motivation, initiative and reliability.

· Ability to read and summarize complex materials clearly in English.

· Superior editing skills, understanding of English grammar and punctuation.

· Maintains a general awareness of the information management plans and practices.

· Displays understanding of client context and environment and interacts with them tactfully and diplomatically.

 

· Familiarity with standard information management systems and databases.

· Ability to consistently, accurately, comprehensively perform additional tasks during each phase of the unit’s work.

· Ability to work cooperatively and collaboratively in a team environment

· Ability to work independently or with minimal supervision

· English proficiency, written and spoken, a must.

· Ability to communicate clearly.

· Shows understanding of the concept and usefulness of information management services.

· Possesses and general awareness of strategic information management plans.

· Good understanding and knowledge of Bank’s operations, in particular the project cycle, and the specifics of records management systems in the institution.

• Knowledge of standard platforms used at the institution (i.e. ePublish; Documentum; BI reporting – SAP business objects; SharePoint).

 

Selection Criteria

• Education:  Depending on the level either HS + Experience; AA, + Experience; BA, + Experience; or Master’s degree.  Coursework and degrees will be preferably in liberal arts, archival science, library science, or information management.

• Role Specific Experience:  2+ years of experience in Library, Archives, records management or information management work

• Knowledge of a foreign language useful
